Job Specification Office Pa Coordinator Company Brook Lyndhurst Position Title Office Pa Coordinator Start date May 2009 asap Location Hammersmith London (W6) Salary Range ?23000 to ?25000 (depending on skills) Discretionary bonus (after six months employment) Contributory pension scheme (after 12 months employment) Additional benefits (e.g. childcare vouchers eye tests etc) Background We envisage the successful candidate to be the hub of the office the go to person when someone wants to know where something is where people are what meetings are going on what processes are in place to deal with office project issues etc. We are looking for someone to make this role their own and there is room for progression by taking on more responsibility for the internal running of the company e.g. Hr finance etc Not research The successful candidate would effectively be the office Pa rather than working for particular individuals e.g. the role would involve a range of tasks from buying teabags to helping to prepare proposals. The role would also involve some work for our project teams e.g. organising meetings typing up transcripts formatting reports etc. Our priority is to find someone with the right skills experience enthusiasm flexibility energy and commitment who wants to work as part of a close-knit passionate team. This role needs someone who can hit the ground running and who wants a career in this line of work. Working hours Working hours are 9 am to 530 pm five days a week. However to support people with families we would be willing to offer a reduced working day (e.g. 930 am to 33o pm) five days a week to fit around the school day childcare. Job description The post of Office Pa Coordinator will involve a wide and evolving variety of tasks including Responsibility for a core set of tasks e.g. updating spreadsheets and our website collating expenses managing documents keeping sickness records monitoring and collecting information for our environmental statement etc. Routine administrative tasks e.g. answering the phone managing diaries and travel arrangements organising team project and client meetings minute taking managing our recycling ordering stationery doing mail merges and filing etc. Assisting with the production and distribution of presentations graphs reports and proposals Maintaining our paper-based and electronic knowledge management systems Organising small scale workshops and focus groups as well as training and Assistance with marketing initiatives. Key skills The ideal attributes for the post are as follows Outstanding Microsoft Office skills (Excel PowerPoint Word Outlook) Exceptional organisational ability with the ability to prioritise a multitude of tasks from many different people Good audio-typing speed Excellent grammar and numeracy skills A proven track record in administration (managing a busy office of people) Great communication skills (with other team members on the phone and in written form) and Good humour a keen eye for detail and a passion for this kind of work.
